Job Description

Short Description: The Administrative Assistant to the Executive Vice President of Human Resources provides high level administrative and operational support to the EVP of HR while also assisting with broader departmental functions. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast paced environment. The ideal candidate is detail oriented, proactive, and capable of handling sensitive information with professionalism.

Compensation Range: $23.00 - $25.00 per hour

Key Responsibilities:

  • Manage and maintain the EVP of HR’s calendar, including scheduling meetings, coordinating appointments and travel plans, and prioritizing commitments
  • Prepare and organize materials for meetings, presentations, and reports
  • Handle confidential and sensitive information with a high degree of discretion
  • Coordinate internal and external meetings, including logistics, agendas, and follow-ups
  • Arrange travel, including flights, accommodations, and itineraries
  • Provide general administrative support to the HR team, including filing, document management, and data entry
  • Assist with onboarding logistics and coordination for new hires
  • Maintain organized records of HR documents in compliance with company policies
  • Process and track departmental invoices, ensuring timely and accurate payments
  • Manage expense reimbursements for HR leadership and team members
  • Maintain accurate records of expenses and assist with budget tracking as needed
  • Answer and route correspondences to the appropriate individual.
  • Receive, sort, and distribute incoming mail and packages
  • Route correspondence to the appropriate department, region, or individual in a timely manner
  • Prepare and process outgoing mail, including shipments and courier services
  • Maintain organized mail distribution systems to ensure efficiency and accuracy
  • Coordinate department events, meetings, and team activities
  • Serve as a point of contact for internal stakeholders and external vendors
  • Assist with other administrative tasks.

What we are looking for:

  • 2+ years of administrative experience, preferably in a HR office environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent organizational, time management, and multitasking skills
  • Strong written and verbal communication skills
  • Ability to handle confidential information with integrity and discretion
  • Detail oriented with strong problem solving abilities
  • Ability to prioritize work and meet deadlines
  • Ability to work in a fast paced environment, handling multiple tasks and work under time constraints
  • A willingness to do whatever it takes to earn a “Thank You".
