Position Summary

The New York State Conference of Mayors and Municipal Officials (NYCOM) is seeking a highly organized and detail-oriented Office Assistant to support daily office operations and assist staff with administrative, membership, and event-related functions. This position plays an important role in ensuring efficient office operations and providing excellent service to municipal officials, partners, and members.

Key Responsibilities

• Answer and direct phone calls, emails, and general inquiries
• Welcome and assist visitors
• Process incoming and outgoing mail and prepare materials for mailings
• Assist with meeting and training logistics, including assembling materials and name badges
• Prepare, organize, and maintain electronic and paper files
• Support staff with document preparation, copying, scanning, and correspondence
• Process publications and webinar orders
• Order and maintain office supplies and inventory
• Help update contact information and maintain accurate organizational records
• Perform general administrative and clerical duties, as assigned

Qualifications

• High school diploma or equivalent required; associate degree (or higher) preferred
• Strong organizational skills and attention to detail
• Excellent written and verbal communication skills
• Proficiency with Microsoft Office, including Outlook, Word, and Excel
• Ability to manage multiple tasks and deadlines in a fast-paced environment
• Ability to work independently and as part of a team

Preferred Qualifications

• Familiarity with local government or nonprofit organizations
• Prior administrative, clerical, customer service, or office experience

Location/Work Environment: Based in NYCOM's Albany office and requires regular in-person attendance.
