Job Title: Pharmacy Application Owner – Epic Willow

Duration of project: 12 months

Location: 100% Remote

Focus Areas: Pharmacy Inpatient (80%) / Ambulatory (20%) | Epic | Sentri 7 | Interfaces

Job Summary:

The Business Systems Analyst will be a key member of the Pharmacy Portfolio team, providing essential business analysis and clinical workflow oversight for pharmacy-focused IT initiatives. This role partners closely with the Pharmacy Application Owner to translate operational and technical needs into clear requirements.

The ideal candidate combines Epic Willow certification with strong business acumen and practical understanding of medication-use workflows and healthcare systems. Experience with Sentri 7 and a working knowledge of interfaces/integrations are preferred.

Key Responsibilities:

Primary Business Analyst to the Pharmacy IT Application Owner

  • Serve as the main Business Analyst for the Epic and Sentri 7 Pharmacy IT Application Owner (and other assigned pharmacy applications).
  • Translate operational and technical needs into clear requirements, deliverables, and design artifacts.
  • Increase stakeholder awareness and engagement through structured working sessions, consistent documentation, and timely decision tracking.

Requirements and Documentation:

  • Elicit, document, and validate comprehensive requirements for pharmacy initiatives (80% inpatient / 20% ambulatory), including workflow, data, and reporting impacts.
  • Review and refine business requirements from stakeholders’ owners to ensure they are complete, unambiguous, and testable.
  • Review and approve project change decisions, assessing scope impacts, operational tradeoffs, and readiness implications.

Implementation Oversight (BA Lens; Not Project Management)

  • Provide SME-level guidance to support timely progression through project phases by clarifying requirements, resolving ambiguity, and surfacing risks/issues early.
  • Work independently to meet BA deliverables and escalate concerns appropriately to the Pharmacy IT Application Owner/ Project Leadership/ Pharmacy IT Applications directors.
  • Maintain practical oversight of dependencies and readiness items (e.g., testing needs, cutover considerations, training impacts, downtime/contingency workflows).

EHR and Interfaces

  • Collaborate with Clinical Informaticists to provide SME support for pharmacy-related Epic workflows, impacting ordering, verification, dispensing, and medication administration (including MAR/BCMA).
  • Partner with interface/integration teams to define and validate requirements (HL7/FHIR concepts) and ensure end-to-end workflow/data reconciliation.

Testing, Go-Live Readiness, and Stabilization

  • Provide application SME oversight for User Acceptance Testing (UAT) planning and execution, including test script development, defect capture/triage, and contingency planning.
  • Track stabilization issues post-go-live to resolution and document optimization opportunities for future prioritization.

Communication and Stakeholder Management

  • In collaboration with the project manager, serve as a primary point of communication by providing regular updates to the Pharmacy IT Application Owner and IT senior leadership as needed.
  • Act as a business escalation point for issues impacting pharmacy operations, readiness, or stakeholder alignment.

Required Skills and Experience:

  • 5–7 years of experience in pharmacy business systems analysis or a related pharmacy-focused technical role (e.g., data analyst, project coordinator).
  • Epic Willow Certification is required.
  • Demonstrated ability to elicit and document requirements, facilitate working sessions, and produce clear, build-ready, and test-ready artifacts.
  • Strong verbal and written communication skills, with the ability to effectively translate information between operational pharmacy stakeholders and technical delivery teams.
  • Proven ability to work independently, manage multiple concurrent priorities, and meet deadlines without close supervision in a fully remote environment.
  • Basic understanding of pharmacy healthcare concepts; stakeholder engagement and/or project coordination experience is required.
  • Proficiency in Google Suite (Docs, Sheets, Slides, Meet/Chat).

Preferred Qualifications:

  • Sentri 7 application knowledge.
  • Working knowledge of interfaces/integrations (e.g., HL7 and FHIR concepts).
  • Understanding of application system security concepts (role-based access, least privilege, change control).

Education:

  • Bachelor’s degree is required.

Soft Skills:

  • Strong initiative and ability to quickly assimilate into a new team ("hit the ground running").
  • Excellent organizational and time management skills.
  • Comfortable working in a fast-paced, deadline-driven environment.
  • Collaborative mindset with a proactive approach to problem-solving.
